Some years ago a colleague – a very conscientious hardworking staff member – was boldly declaring she enjoyed 50 leave days a year! Naturally as everyone else only had 25 days leave a year we wanted to know what was going on (writing as a Brit due sympathies to USA colleagues who continue the noble vacation ethic of the Founding Fathers). She pointed out somewhat dryly that she enjoyed not only her own 25 vacation days but a further 25 days at work when her boss was on vacation. As her “boss” I had to admire this stoical point of view.

We are approaching that time of year where many are thinking about vacation and holiday. It is also the time managers get caught out when discovering key personnel are away presumably enjoying themselves. Of course “key” redefines itself at this time. It won’t be the first time the absence of the quiet conscientious worker in a “small” part of the process brings the whole system to a grinding halt. In the main “weightier” process is brought into sharp focus as auto-responders hit the network heralding re-alignment of project schedules and business goals. They also reveal the staff who could keep things on course also “jetted” out a few days earlier. Workplace tension increases, blame culture kicks-in and the unstated implication of the “I’ve already paid my deposit” riposte is uttered in hushed tones over the water-cooler.

When staff encounter large chunks of leave, “ring-fenced” several months, if not a year earlier, for popular holiday periods they feel aggrieved. Facing little pity from others who got their vacation schedule sorted “in good time” only makes resentment worse. Nevertheless managers learn to live with a few irksome weeks of leave “grabbing” and figure out how to make up later. Eventually the popular holiday periods are out of the way, staff get back and settle down to business. If only it was that simple. Staff who have worked all through the holiday period now take their banked vacation for an out of season group soirée. Vacation and leave scheduling can be an all round year nightmare.

Poor vacation or leave scheduling can raise staff temperature that will keep them warm right through the winter months and into the following year. If that isn’t bad enough it can be more serious for the business. Missed deadlines, extended time to market and frustrated customers. Without a proper system of vacation scheduling managers may learn to ignore staff resentment, or even the wrath of senior management. Few managers however can learn to ignore the pincer grip of both.

Being caught like this need not happen. Good vacation or leave scheduling involves planning ahead and that much seems obvious. It is the context of other business goals and workplace scheduling that is often missing which leads to these conflicts. Simply recording a vacation balance against a staff leave entitlement is not good enough. All that does is tell you when someone can’t have anymore vacation or leave. Similarly the easy to use 10% rule doesn’t really help. The vacation or leave criterion can be met but a combined absence from the same key group can still paralyse those left behind until staff get back.

The following suggestions hammered out of workplace experience can make a big difference for the manager assailed throughout the year with vacation and leave conflicts. First make sure it is your job. There is a simple test for this. Do staff put vacation or leave requests to you for approval? If the answer is yes it is your job, if the answer is no then it isn’t. The practice of submitting leave requests through line managers that do not approve leave is a confusing and useless practice. Managers who manage approve leave. Summer is approaching so get it sorted at the next management team meeting.

Get a vacation schedule in place

You need to align your vacation scheduling alongside other information about staff organization and workplace schedules e.g. departments, teams, shifts, and assignments. It doesn’t have to complicated and will provide a proper context for approving vacation or leave.

Make sure public holiday dates are flagged well ahead of time

These are traditional magnets for leave requests. They often get overlooked, especially by staff that don’t have children of school age around providing a constant reminder about the annual holiday schedule. When staff suddenly “discover” they have an “extra day off” it is commitment, for the manager it is inconsiderate. A pity when you are working just as hard simply not to notice.

You need to know how many staff are requesting leave at the same time

The only thing going for the 10% rule is it’s easy and has the appearance of fairness. Ironically it is usually present when there is nothing else. Looking at dates is useful, knowing which days of the week is better. Dates are used for records; days are used for planning, so use both to get proper context. If you must use a 10% rule be prepared to be flexible. There is nothing more frustrating for staff than to be denied a vacation or leave opportunity that does not impact the business.

Identify leave requests as first round and second round choices

When it comes to vacation or leave at popular times of the year staff want to know they are being considered. A system of first round choices followed by second round choices enable more staff to enjoy some of their vacation during popular holiday periods. Staff will often work out arrangements with colleagues before even involving you. What hurts is when they don’t get considered at all and fall victim to some ill-thought out “seniority” policy, or 10% rule that can be both inflexible and unfair.

You need more than an outstanding leave balance

A simple calculation about leave taken and leave outstanding is not that useful. You need to track both leave that has been taken, and when leave has been scheduled but not yet taken. This will avoid a rush of unplanned vacation and leave requests toward the end of the year as time runs out. Hard working staff just may not realise how much leave they have left. Even if they don’t thank you they will understand the sense of what you are trying to do.

View vacation and leave status by defined group

For a manager it is more important to view vacation or leave status by department, team or job groups rather than by individual staff. Even when the overall number of requests is within limits approving staff leave from one particular team or job group can severely impact the rest of the business.

Make it a routine not an anniversary

You need to have access about the status of vacation when you need it. It should be part of your weekly if not daily management routine. Not two or three times a year when it is already causing a problem that takes several hours if not days to sort out.

Vacation is important and for many it is special. It doesn’t just affect the staff themselves but the people they plan vacation and leave with. Vacation and leave scheduling directly affects how staff think, feel and perform for the organization well into the following leave year. On the other hand don’t expect staff to point out the reasons why their vacation or leave shouldn’t be approved. As a manager you may not please everybody all of the time when it comes to approving vacation and leave schedules, but you will earn respect when making better sense of it.

There was also the time that the people in the next unit were loud and obnoxious, and the primary reason you had taken a vacation was to find peace and quiet. If only you could have the comforts of your home magically transported to your fantasy destination, then you could have had the perfect vacation.

    Well, your dream arrangement is (almost) possible - you just have to look at vacation rental of a home, condo or cabin instead of hotels, motels and resorts. If you’ve never tried a vacation rental, there is a whole world of opportunities out there, just waiting for you to discover them.

    Lots of people have vacation homes or condos that they use only part of the year. Many of these people rent out their places when they know they aren’t going to be there to use it themselves. The process is a little different than pulling up in front of a Best Western or Holiday Inn, but the principle is the same - you get to use a room or set of rooms where you are able to reside, for the length of your vacation.

    Normally hotel, motel or resort rooms are relatively small.     There are literally thousands of places available that are private homes, condos, cabins, etc., available for vacation rental. And, the facilities available in these rentals range from rustic to lavish, comfortable and spacious.

    There are thousands of companies around the world acting as agents for owners. Many of these agents have listings in every state of the United States, plus Mexico and the Caribbean. They are really just booking agents, but they have information on a huge number of properties in a large number of locations. They have listings in Central America, Africa, Europe, the Middle East, Asia and the South Pacific. Unless you had your heart set on a vacation in Antarctica, it doesn’t seem like there can be much of anywhere that you will not be able to find vacation rentals.

    Most agents found online and offline have vacation rental homes in US destinations, and many also have access to international listings. On the Internet, you will be able to find listings provided by agents - and vacation rentals by owner. At most websites that cater to the vacation rental industry, listings will contain a full inventory of what a particular property has to offer the vacationer and most of those listings contain several photographs, including interior and exterior photos.

    Many vacation home rentals can be found near the center of major tourist areas, such as Disney World in Florida, or near beaches - perhaps even on the beachfront - in many coastal states. Other vacation rental homes are located out in the boondocks, such as in the wooded and mountainous regions of Arkansas, Colorado or Tennessee.

    For instance, there is the 4-bedroom, 2.5-bath, lakeside, log home at Presque Isle, Wisconsin, located on the shores of Presque Isle Lake, an hours’ drive south of Lake Superior. The property is a rustic wilderness stone and log cabin on top of a ridge, with sleeping space for up to 14 people. Overlooking the 1500-acre, crystal clear waters of Presque Isle Lake in the North Woods, this log cabin receives guest’s year-around. During the summer, many families enjoy the swimming off of the cabin’s lakeside dock, and anglers enjoy an ample supply of trophy Muskie, Walleye and Bass from the dock and by boat.

    Let’s say you are thinking about taking the family to Breckenridge, Colorado for a week of skiing or snowboarding fun. A short search on the Internet will give you a sizable list of resorts or hotels to choose from. They have nice rooms, food service, probably a pool, and transit service to the slopes. But what is available in a vacation rental?

    There are more than two-dozen vacation homes available in Breckenridge, Colorado. You can access descriptions and photographs of many of these homes. Facilities range from units that sleep 6 to exclusive townhouses that provide sleeping quarters for up to 22 people. Rates start at $70 per day to $20,000 per week. That would seem palatial to me. I wonder if the rates are negotiable?

    Finding exactly the right-sized home, with the desired amenities, for the price you are willing to pay will take some searching. You should really take the time to decide what kind of a place you really want, the amenities, and how many people will be going with you, before you start going though lists. Of course, some people go to Breckenridge in the summer, rather than during the winter for the ski season, and rentals are available, even during the off-season.

    With a vacation rental you get more space and special amenities compared with a conventional hotel, motel or resort. The cost per square foot is usually less, but the amount of space is usually more. You have more privacy, but you will probably have to do your own cooking and wash your own dishes. As with everything else, you have to decide how you want to spend you time and your money - what do you value and how much is it worth to you?

    Picking and booking the right vacation home may require some time, but it is also time well spent with people you love. Compared to the hotel experience, a vacation home rental is an excellent option that you should consider for your next vacation. It might create that perfect memory you have been looking to achieve for your family.

    Suppose, instead of Breckenridge and skiing, you are interested in a week at the beach, a weekend in the woods, or a week following your favorite NASCAR event. On January 20th, 2008, it is estimated that four million people will be in Washington D.C. for the inauguration of President-Elect Barack Obama. Hotels were sold out weeks ago… but there are still plenty of vacation rentals in the greater D.C. metropolitan area, looking for renters. Some people are even renting their homes to visitors coming in for the inauguration and taking the opportunity to visit grandma, while someone else is renting their home.

Because they don’t have the glamour and cachet of the Big Boys - United Airlines, American Airlines and the others - they get far less applicants for every flight attendant job opening. And the fact is, because flight attendants bid on the flights they work based on seniority with the plum jobs going to those with the most flight hours, the flight attendants working for the major airlines are just as likely to be working the short hop flights as those working smaller airlines who specialize in them.

    Finding a flight attendant job opening is no different than finding a job opening in any other industry. It takes diligence, persistence, luck and some insider knowledge. You’ll find listings for job openings for flight attendants in your local newspaper, on the job boards like Monster, and by applying directly to the airlines. Once you’ve found a flight attendant job opening, you can apply online at the airline’s web site, or send a resume by mail or over the telephone. If you’ve done a good job of presenting yourself in your cover letter and resume, you may receive an invitation to an interview, or other instructions on your next step.

    Preparing yourself for your interview is just as important when the interview is a ‘cattle call’ - industry slang for open houses where recruiters prescreen applicants for a flight attendant job opening - as it is for a face to face interview. Impeccable personal grooming is important in any job interview, but it’s vital when you’re applying for a flight attendant job opening. Trim and manicure your nails, be certain that your hair coloring is not in need of touching up - be certain that every detail of your appearance is just right. After all, your competition will be dong the same thing.

    has long been a debate on the advantages of Part 141 versus Part 61 training. Student pilots are confused by the differences and are therefore unable to determine how to make the most of the benefits offered by each.

    The following remains the same, regardless of whether your train under Part 141 or Part 61: 1)Written tests. 2)Oral exam in check ride. 3)Flight portion of the check ride. 4)License issued.

    Measurement of success is the same at both types of schools: 1)Instructors make or break the school. Knowledgeable, experienced instructors are key. 2)Some flight schools have a high dropout ratio. Successful schools should have at least 90% of the students they train attain the certificates and ratings they signed up for. 3)Aircraft maintenance is important. Students should very seldom have flight lessons cancelled due to aircraft being grounded. 4)The school accident record should be zero or close to zero, indicating that the school places a high value on your safety.

    On the surface, it looks like all helicopter flight schools are very similar. This is why it is so useful to understand the differences between Part 141 and Part 61. The two biggest differences are: 1)Part 141 training requires following an FAA approved Training Course Outline (TCO). Part 61 does not require a TCO be used at all. 2)The flight school itself and the Chief Flight Instructor have to meet stringent FAA requirements. Part 61 is not subject to these FAA requirements.

    Let’s start with Part 61 helicopter training and flight schools. The majority of helicopter flight schools in the USA today are Part 61 flight schools. Many Part 61 helicopter flight schools start off with one certified flight instructor and one helicopter. The flight instructor offers one-on-one training to prospective students and teaches the student as he or she sees fit. If the instructor is good, more students join the school and the owner purchases additional helicopters and hires more instructors to meet the demand.

    There are no FAA inspections required for a Part 61 helicopter flight school. The flight school is free to train their students using their own chosen methods. They are expected to follow the rules and regulations in the FAR/AIM for Part 61 flight schools and training, but are not subject to FAA inspections to confirm that they are doing this.

    Part 141 training and flight schools have to meet very specific requirements and standards. The helicopter flight school itself is issued an Air Agency Certificate when it passes the FAA inspections. Facilities and aircraft that will be used for Part 141 training are inspected. The Chief Flight Instructor is required to take an annual check ride with the FAA.

    On the training side, the flight school submits a separate and distinct Training Course Outline (TCO) to the FAA for each certificate and/or rating that they want to teach under Part 141. For example, a Private Pilot TCO would be submitted. This contains lesson plans for both Flight and Ground training. The flight school would have to submit another TCO for Instruments if they wanted to teach Instrument ratings under Part 141.

    Don’t assume that a Part 141 helicopter flight school offers all their certificates and ratings under Part 141. Many only obtain FAA certification for Private, Instrument and Commercial certificates. It takes a lot of work for the flight school to create TCO’s and to teach under Part 141. The FAA requires that the flight school keep extensive student documentation for Part 141, including very detailed information on student progress. This is great for the student. It is time consuming for the flight school.

    There are a few very large flight schools that only offer Part 141 training. They have set schedules for their classes and teach many students at the same time. They also have regimented flight schedules. These few very large flight schools often have a very high ratio of foreign versus domestic students. This is because SEVIS (Student Exchange Visitor Information System) requires that flight schools be FAA certified as a Part 141 flight school in order to apply for permission to train international students. The Veterans Association (VA) has the same Part 141 requirement for veterans to use their VA benefits.

    Most Part 141 schools also offer Part 61 training for the same programs. For example, you may choose to do your Private Pilot under Part 141 or Part 61. Schools that offer both training methods provide the most flexibility to the student.

    The student attending a Part 141 helicopter flight school gets all the benefits of attending a Part 141 school even if they choose to do some or all of their training under Part 61. This is due to the school being subject to random FAA inspections. They have to maintain their high standards at all times to retain their certification.

    The disadvantage of Part 141 training is that the TCO has to be followed in the sequence written. Every student learns differently and some people prefer the flexibility of Part 61 training, which enables the student to cover materials in the sequence appropriate for him or herself.

    This brings to light another advantage to a flight school that offers both Part 141 and Part 61 training. They will often use the TCO for your Part 61 training. This is great for the student pilot as you get the benefit of a structured Training Course Outline that is FAA certified, while at the same time being able to cover materials in the order that suits you best.

    Another advantage to training at a school that offers both is that you can mix and match your training. For example, I did my Private Pilot under Part 61 as I wanted the flexibility to jump around in the curriculum. Flying instruments is very structured and is about learning procedures, so I choose to do my instrument training under Part 141. I found the structured approach and learning sequence worked really well for my Instrument training. I went back to Part 61 for my Commercial training.
